This Privacy Policy explains how OrderLink ("we", "us", "our") collects, uses, and protects information when you use the OrderLink order management service (the "Service").

We are committed to handling personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

1. Information we collect

We collect information you provide directly, and information generated through your use of the Service:

Account information: name, email address, business name, phone number, and business address you provide when signing up or updating your business details.
Business records: product catalogues, orders, delivery notes, invoices, and related transaction data you and your connected retailers create in the Service.
Payment information: subscription and billing details are processed by our payment provider, Stripe. We do not store your full card details ourselves.
Usage information: information about how you interact with the Service, collected through Google Analytics (GA4), to help us understand feature usage and improve the product.

2. How we use your information

To provide and operate the Service, including order processing, delivery note and tax invoice generation.
To process subscription payments and manage your account.
To communicate with you about your account, service updates, or support requests.
To understand how the Service is used, so we can improve it.
To meet legal and regulatory obligations.

3. Sharing of information

We do not sell your personal information. We share information only where necessary to operate the Service:

Service providers: Google Firebase (hosting, database, authentication), Stripe (payment processing), and Google Analytics (usage analytics). Each provider processes data under its own privacy terms.
Your connected trading partners: if you are a wholesaler, information relevant to an order (such as retailer name and order contents) is visible to the retailer you are trading with, and vice versa.
Legal requirements: where required by law, regulation, or a valid legal process.

4. Data storage and location

Data for OrderLink's Australian service is stored using Google Cloud infrastructure in an Australian region. Some service providers (including Stripe and Google Analytics) may process data outside Australia as part of their standard operations.

Sample data

When you use the "Sample Retailer" feature to try OrderLink, the sample products and orders created are clearly marked as demo data internally and are excluded from your real sales records, invoices, and reporting. You can remove sample data at any time from within the app.

5. Data security

We use industry-standard measures to protect your information, including encrypted connections, tenant-level access controls, and authenticated access to your account data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Your rights

Under the Privacy Act, you have the right to:

Access the personal information we hold about you.
Request correction of inaccurate information.
Ask questions about how your information is handled, or make a complaint.

Most account information can be updated directly within the app under Settings. For other requests, contact us using the details below.

7. Cookies and analytics

We use Google Analytics (GA4) to understand how the Service is used. This may involve cookies or similar technologies. You can control cookie preferences through your browser settings.

8. Data retention

We retain account and business data for as long as your account is active, and for a reasonable period afterward as required for legal, accounting, or dispute-resolution purposes.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above when we do. Continued use of the Service after changes take effect means you accept the updated policy.
